Privacy Policy

Alleviate Media LLC, an Arizona limited liability company, d/b/a MOLAR AI (“Company,” “MOLAR AI,” “we,” “us,” or “our”)

1. Introduction

This Privacy Policy explains how Company collects, uses, shares, and protects personal information when you visit the website located at molarai.studio (the “Site”), sign up for our newsletter or resources, start a free trial or subscription, or otherwise use the MOLAR AI platform and related services (together with the Site, the “Service”). This Privacy Policy is incorporated into our Terms of Service. Capitalized terms not defined here have the meanings given in the Terms of Service.

The Service is built for dental practices and the professionals who work in them. It is not directed to patients or other consumers.

2. Information We Collect

2.1 Information you give us.

  • Newsletter sign-ups. When you subscribe to our newsletter, we collect your email address, your first name where the form asks for it, and which sign-up form you used.
  • Resource downloads. When you request a guide or other resource, we collect your email address and the resource you requested.
  • Trials, subscriptions, and accounts. When you start a free trial or subscribe, we collect the information needed to set up and bill your account, such as your name, email address, phone number, practice name and address, and billing details. Payment card details are entered directly with our third-party payment processor; Company does not receive or store your full payment card information.
  • Sales calls and correspondence. When you book a call, email us, or otherwise contact us, we collect the information you choose to provide, such as your name, contact details, practice information, and the content of your message.

2.2 Information you provide to use the Service. Subscribers provide materials so that we can create and personalize content, including practice logos and branding, photos, videos, testimonials, reviews, staff likenesses, and voice recordings (including for AI voice features), and, where applicable, patient photographs, before-and-after images, testimonials, and reviews (“Patient Materials”). These are “Subscriber Materials” as defined in the Terms of Service. If you connect social media accounts, such as Instagram, Facebook, or YouTube, so that we can publish on your behalf, we receive the account information and authorizations needed to do so.

2.3 Information collected automatically.

  • Server and security logs. Like most websites, our hosting provider automatically records technical information when you visit the Site, such as your IP address, browser and device type, the pages you request, the referring page, and the date and time of your visit. We use this information to operate, secure, and troubleshoot the Site.
  • Analytics, if you accept. If you accept analytics cookies, Google Analytics records how you use the Site, such as the pages you view, how you arrived, approximate location derived from your IP address, and browser and device type. If you decline, or never answer, this is not collected. See Section 3.
  • Spam protection. Our forms include hidden fields and timing checks that help us distinguish real submissions from automated ones. These checks are not used to identify you.
  • Service usage. When you use the Service, we collect information about how it is used, such as feature usage, engagement metrics, and content performance, as described in the Use of Aggregate Data section of the Terms of Service.

3. Cookies and Similar Technologies

The Site uses very few cookies:

  • Strictly necessary cookie. If you enter the password for our video library, we set a single session cookie that remembers you have done so. It contains no personal information, is deleted when you close your browser, and stops working after twelve hours at most.
  • Embedded video. Some videos on the Site are played through Vimeo. We load Vimeo’s player with its “do not track” setting enabled, which instructs Vimeo not to set tracking cookies. Vimeo may still receive technical information, such as your IP address, when a video loads, and handles it under its own privacy policy.
  • Checkout pages. Our checkout pages at checkout.molarai.studio are operated on a third-party platform and may use cookies that are needed to process your order.
  • Analytics cookies, only with your consent. When you first visit the Site, we ask whether we may use Google Analytics to understand which pages are useful. Until you accept, Google Analytics is not loaded, no analytics cookies are set, and nothing is sent to Google. If you accept, Google Analytics sets its own cookies (named _ga and _ga_ followed by an identifier) that last up to two years, and Google processes the resulting data under its own privacy policy. We do not enable Google’s advertising features. Your choice is stored in your browser for up to twelve months, after which we ask again. You can change it at any time using the “Cookie settings” link at the bottom of every page; withdrawing consent stops analytics and deletes those cookies.

We do not use advertising cookies or social media tracking pixels on the Site. If that changes, we will update this Privacy Policy and, where the law requires it, ask for your consent first.

4. How We Use Information

We use personal information to:

  • Provide, operate, and maintain the Service, including creating, customizing, scheduling, and publishing content for your Practice;
  • Set up and manage accounts, free trials, and subscriptions, and process payments;
  • Send the newsletter and resources you request and, where permitted by law, information about our products and services;
  • Respond to your inquiries, schedule calls, and provide support;
  • Send service messages about your account, billing, and changes to our Terms of Service or policies;
  • Improve the Service, including by analyzing usage in aggregated or de-identified form;
  • Protect the Site and Service, prevent spam, fraud, and abuse, and enforce our Terms of Service and Content License Agreement, including by monitoring for unauthorized use of MOLAR Content; and
  • Comply with our legal obligations.

We use Subscriber Materials, including Patient Materials, only to provide the Service to the Practice that submitted them, as described in the Terms of Service.

If you are located in the European Economic Area, the United Kingdom, or Switzerland, we process personal information on the following legal bases:

  • Contract — to provide the Service you have signed up for, and to process payments;
  • Consent — to send our newsletter where consent is required. You may withdraw your consent at any time;
  • Legitimate interests — to operate, secure, and improve the Site and Service, respond to inquiries, prevent spam and fraud, and market our services to dental practices, where those interests are not overridden by your rights; and
  • Legal obligation — to comply with tax, accounting, and other legal requirements.

6. How We Share Information

We do not sell personal information, and we do not share it for cross-context behavioral advertising. We share personal information only as described below.

6.1 Service providers. We use service providers that process personal information on our behalf and under our instructions, including providers of:

  • Website hosting and form handling (Netlify);
  • Form-processing infrastructure (Cloudflare);
  • Checkout and customer management (LeadConnector);
  • Payment processing (Stripe);
  • Appointment scheduling (Calendly);
  • Video hosting (Vimeo);
  • Website analytics (Google Analytics), only if you accept analytics cookies;
  • Email delivery and newsletter tools; and
  • Artificial intelligence services that power certain features, including generative image, video, and voice tools. As described in the Terms of Service, we require these providers not to use your Subscriber Materials to train their general-purpose AI models beyond what is reasonably necessary to provide the applicable feature to you.

6.2 Social media platforms. When you ask us to publish content to your accounts, that content is shared with the platforms you connect, such as Meta (Instagram and Facebook) and YouTube. Their use of it is governed by their own terms and privacy policies.

6.3 Legal and safety reasons. We may disclose personal information if we believe in good faith that it is required by law, subpoena, or other legal process; to enforce our Terms of Service or Content License Agreement; to report suspected unlawful activity, including content theft or watermark removal; or to protect the rights, property, or safety of Company, our subscribers, or others.

6.4 Business transfers. If Company is involved in a merger, acquisition, financing, or sale of assets, personal information may be transferred as part of that transaction, subject to this Privacy Policy.

6.5 With your permission. We may share personal information for other purposes with your permission — for example, before featuring your practice in a case study or testimonial.

7. Patient Information and HIPAA

Company is not a healthcare provider and is not a “covered entity” or “business associate” under the Health Insurance Portability and Accountability Act (“HIPAA”), unless we have separately signed a Business Associate Agreement with you, as described in the Terms of Service. The Service is not designed to receive protected health information. Practices should submit only the Patient Materials needed to create content, and only where they have obtained valid written patient authorization, as the Terms of Service require.

When a Practice submits Patient Materials, the Practice decides what is submitted and for what purpose, and we use those materials only to provide the Service to that Practice. If you are a patient and would like to access, correct, or remove material about you, please contact the dental practice that provided it. If you contact us instead, we will refer your request to that practice and assist it in responding.

8. Data Retention

We keep personal information only for as long as we need it for the purposes described in this Privacy Policy:

  • Newsletter and resource sign-ups — until you unsubscribe or ask us to delete them;
  • Account, billing, and subscription records — for the life of your account, and afterwards for as long as needed for tax, accounting, legal, and dispute-resolution purposes;
  • Subscriber Materials and Patient Materials — for the duration of your subscription and as reasonably necessary to provide the Service, after which we delete or de-identify them within a reasonable period unless the law requires us to keep them. Content already delivered to you or published to your accounts is governed by the Terms of Service and Content License Agreement; and
  • Server and security logs — for limited periods, in line with our hosting providers’ practices.

9. International Data Transfers

Company is based in the United States, and our service providers may process personal information in the United States and other countries whose data protection laws may differ from those where you live. Where we transfer personal information from the European Economic Area, the United Kingdom, or Switzerland, we rely on appropriate safeguards, such as the European Commission’s Standard Contractual Clauses, or another lawful transfer mechanism.

10. Security

We use reasonable administrative, technical, and physical safeguards to protect personal information, including encrypted connections to the Site and access controls on the systems we use. No method of transmission or storage is completely secure, however, and we cannot guarantee absolute security. If we learn of a security breach affecting your personal information, we will notify you as required by law.

11. Your Rights and Choices

11.1 Marketing emails. Every marketing email we send includes an unsubscribe link. You can also unsubscribe by contacting us. If you are a subscriber, we will still send you service messages about your account and billing.

11.2 Your privacy rights. Depending on where you live, you may have the right to:

  • Access the personal information we hold about you and receive a copy of it;
  • Correct inaccurate personal information;
  • Delete your personal information;
  • Receive your personal information in a portable format;
  • Object to or restrict certain processing, including direct marketing;
  • Withdraw your consent where we rely on consent; and
  • Not be discriminated against for exercising any of these rights.

Residents of California and other U.S. states with consumer privacy laws have these rights to the extent those laws apply to Company. If you are located in the European Economic Area, the United Kingdom, or Switzerland, you also have the right to lodge a complaint with your local data protection authority.

11.3 Making a request. To exercise any of these rights, email us at team@molarai.studio with the subject line “Privacy Request.” We may need to verify your identity before responding, and we will respond within the time required by applicable law. You may also make a request through an authorized agent where the law allows it.

11.4 Global Privacy Control. Because we do not sell personal information or share it for targeted advertising, there is nothing on the Site for a “Do Not Track” or Global Privacy Control signal to opt you out of. Where applicable law requires it, we treat such a signal as a request to opt out of the sale or sharing of your personal information.

12. Children’s Privacy

The Service is intended for dental practices and the adults who work in them. It is not directed to children, and we do not knowingly collect personal information directly from anyone under 18. If you believe a child has provided us with personal information, please contact us and we will delete it. Patient Materials depicting a minor may be submitted only by a Practice that has obtained the required authorization from the patient’s parent or legal guardian, as the Terms of Service require.

The Site links to third-party websites and services, including our social media profiles, our checkout pages, and our scheduling page. Those services are not controlled by Company, and their collection and use of your information is governed by their own privacy policies.

14. Changes to This Privacy Policy

We may update this Privacy Policy from time to time. We will post the updated version on the Site and change the “Last updated” date above. If we make material changes, we will notify you on the Site or by email before the changes take effect.
